- Email address (optional) — to send appointment confirmations and follow-up communications

We do not collect payment card numbers, Social Security numbers, or government ID through our website. Payment is handled in person at the time of service.
Information Collected Automatically
When you visit our site, our web server and analytics tools automatically collect:
- IP address — used to estimate general geographic location (city/region level)
- Browser type and version
- Device type (desktop, mobile, tablet)
- Pages visited and time spent on each page
- Referral source — how you arrived at our site (e.g., Google search, direct link)
- Click events — including clicks on our phone number and call-to-action buttons
This data is collected through Google Analytics 4 (see Section 5) and does not directly identify you by name.
3. How We Use Your Information
We use the information we collect solely for the following purposes:
- Service fulfillment — scheduling technician visits, confirming appointments, and completing your requested HVAC service
- Customer communications — responding to inquiries, sending appointment reminders, and following up on completed work
- Business operations — internal record-keeping, dispatching, and billing
- Website improvement — understanding which pages and content are most useful so we can improve the site
- Legal compliance — meeting obligations under Texas law, including contractor licensing requirements
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects.
4. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We share data only in the following limited circumstances:
Service Providers
We use a small number of trusted vendors to operate our website and communicate with you:
- Resend (resend.com/privacy) — transactional email delivery. When you submit our contact form, your name, phone number, and message are transmitted to Resend's servers to deliver your inquiry to our team and, if you provided an email address, to send you a confirmation.
- Google Analytics — website analytics (see Section 5).
- Web hosting provider — our Apache-based server host stores the PHP form submissions in transit; no form data is permanently stored on the server beyond the immediate email send.
These vendors are contractually obligated to use your data only to provide their services to us and are prohibited from using it for their own purposes.
Legal Requirements
We may disclose your information if required by law, court order, or governmental regulation, or if we believe disclosure is necessary to protect the rights, property, or safety of Katy HVAC Repair, our customers, or the public.
Business Transfers
If our business is sold or merged, customer information may be transferred as part of that transaction. We will notify affected customers via email or a prominent site notice before any such transfer occurs, and the receiving party will be bound by this Privacy Policy.
5. Cookies & Analytics
Google Analytics 4
We use Google Analytics 4 (GA4) to understand how visitors use our site. GA4 sets cookies on your device to collect information including pages visited, session duration, approximate location (city level), and events such as phone number clicks. This data is aggregated and anonymized — Google does not provide us with individually identifiable visitor information.
Google's data practices are governed by the Google Privacy Policy. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-On.
Essential Cookies
Our site may set minimal session cookies required for the contact form to function correctly (e.g., CSRF protection). These cookies are strictly necessary and do not track you across other websites.
No Advertising Cookies
We do not use advertising networks or third-party remarketing cookies that track you across other websites for ad targeting purposes.
Managing Cookies
You can control cookies through your browser settings. Disabling cookies may affect the functionality of the contact form. Most browsers allow you to refuse new cookies, delete existing cookies, or notify you when cookies are set. Consult your browser's help documentation for instructions.
6. Email & Phone Communications
Transactional Email (CAN-SPAM Act)
When you submit our contact form and provide an email address, you may receive a single confirmation email acknowledging your inquiry. This is a transactional message, not marketing. It will include our physical address and instructions for opting out of further email contact.
We comply with the federal CAN-SPAM Act. Every commercial email we send:
- Accurately identifies the sender
- Includes our physical mailing address
- Provides a clear way to opt out of future messages
- Honors opt-out requests within 10 business days
Phone & Text (TCPA)
By providing your phone number, you consent to receiving calls and text messages from Katy HVAC Repair related to your service request. We comply with the Telephone Consumer Protection Act (TCPA). We do not use automated dialers or pre-recorded messages for marketing without your express written consent. You may opt out of text messages by replying STOP at any time.
7. Data Retention
We retain customer contact information for as long as necessary to fulfill your service request and for a reasonable period afterward for warranty, follow-up service, and legal record-keeping purposes — typically no longer than 5 years from your last interaction with us. Analytics data collected by Google Analytics is retained according to Google's standard retention policies (default 14 months in GA4).
You may request deletion of your personal information at any time (see Section 9).
8. Security
We implement reasonable technical and organizational measures to protect your personal information from unauthorized access, loss, or misuse, including:
- HTTPS encryption for all data transmitted between your browser and our server
- Server-side handling of contact form data (your information is never exposed in client-side JavaScript)
- API keys and credentials stored as server environment variables, not in publicly accessible files
- Restricted file access and Apache security headers to block unauthorized file reads
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your rights or freedoms, we will notify affected individuals as required by applicable law.
